Automation for dental practices THE CHAIR THAT
SAT EMPTY.

Someone did not turn up at eleven. Nobody filled the slot, because filling it means ringing down a list while the phone is already going and two patients are waiting at the desk. The reminder was never the hard part. The hour afterwards is.

We build it. We run it. We fix it. From €249 a month — no setup fee, stop any time.

Five questions, about a minute, and your plan on the screen. No call unless you want one.

How it goes now

  • 10:40 — a cancellation for 11:00
  • Reception is on another call
  • Nobody has time to ring the list
  • The chair sits empty for an hour
  • The gap is never recorded
  • It happens again on Thursday

How it goes after

  • 10:40 — a cancellation for 11:00
  • The waitlist is messaged in order
  • 10:43 — someone replies yes
  • It is booked and confirmed
  • Reception never touched it
  • The hour was billed, not lost
What it is costing you

Three jobs you
do by hand.

Each one is a single automation. We set it up once, you approve it, and then it happens on its own for as long as you want it to.

The one nobody solves

Filling the gap a cancellation leaves

Your practice software sends reminders. It does not ring round to fill the hole at eleven o'clock. A waitlist that offers the slot to the right patients in order, first reply takes it, turns a lost hour into a booked one without anybody picking up a phone.

The quiet one

Recalls that quietly stop going out

Six-month recalls are the steadiest revenue a practice has, and the first thing to slip when reception is short-staffed. Running on their own they never slip, and the patients who ignore the first message get a different second one rather than the same one again.

The kind one

Treatment plans nobody followed up

A patient agrees to the work, goes home, and life happens. A short, warm message a fortnight later is the difference between a plan that gets booked and one that quietly expires. It is not a sales message and it should never read like one.

Is it worth it

What a refilled hour is worth

Reception will know both of these figures straight away.

Assume the waitlist refills only half of those hours. Not all of them — half.

Refilling half of them is worth

0a month

Against €249 a month. Nothing else in your practice is trying to do this job.

Works with what you have

Not on this list? Tell us what you use. It is almost always fine.

We read appointment times and contact details, nothing clinical. Where your practice software has no open connection we work from the exports or notifications it already produces.

How it goes

From a chat
to running.

You tell us the job you are tired of

In normal words. Twenty minutes, video or email, whichever you prefer. If automation is the wrong answer for you, we will say so.

We build it and show you

Usually within a week. You see it working on real examples and read every message it would send before a single customer receives one.

You say yes, and it goes live

Nothing runs until you approve it. It runs on our machines, not your phone or office computer. Nothing to install, nothing to keep updated.

We watch it and fix it

Included in the monthly fee, along with changes and small updates. If it breaks, that is our problem and not yours.

The fair questions

What people ask
before they say yes.

Our practice software already sends reminders.

It does, and it should keep doing it. We deliberately do not duplicate that. What we add is the part it has no answer for: filling the gap after a cancellation, chasing a recall that was ignored, and following up an agreed treatment plan.

What about patient data?

The right question to ask first. We work with the minimum needed: a name, a contact and an appointment time. No clinical notes, no treatment detail. There is a written data processing agreement and you read it before anything is built.

Will patients find it impersonal?

They find a message about their own appointment useful. What people dislike is marketing dressed up as care, and we do not write that. Every message is yours, you approve it, and it says one thing.

Reception is already stretched. Is this more work for them?

It is less. The whole point is that the ringing round stops being a job somebody has to find time for. Reception sees the slot get filled; they do not have to fill it.

Questions

Everything else.

Does this replace our practice management software?

No. It works alongside Dentally, Cliniko, Exact or whatever you already run, and fills the gaps those systems do not cover.

What does it cost?

From EUR 249 a month per automation, no setup fee, stop any time. Larger projects get a fixed quote before you pay anything.

Do you handle patient records?

Only the minimum needed to send a message: name, contact and appointment time. No clinical data. A data processing agreement is in place before any work starts.

How quickly can it run?

Most single automations are live within a week, and you approve everything before a patient sees it.

Can we start with just one thing?

Yes, and we would recommend it. Most practices start with the cancellation waitlist because it pays for itself fastest and touches nothing else.
